Keyword table format
Short answer: Excel is recommended: column A is the text to find, column B the replacement, and content is kept exactly as written. You can also paste two columns from Excel, or use CSV or TXT. In TXT, each line is one pair separated by "=>" by default; use double quotes to keep leading or trailing spaces or when the text contains the separator.
Excel (recommended)
- Column A is the text to find, column B the replacement, one pair per row. The first row can be a header.
- Values are read cell by cell, so no separator is needed. Spaces, commas and quotes are kept as they are.
- Set number cells to “Text” format. Otherwise Excel drops leading zeros, as in 00123.
- “Export…” saves the current list as an Excel file you can use as a template.
Pasting from Excel or WPS
Copy two columns and paste them into the editor window. The columns are separated by a Tab automatically, and content is kept as it is.
TXT
One pair per line, with a separator between the text to find and the replacement:
Old Company Name => New Company Name
Acme Co., Ltd. => New Co, Inc.
" leading and trailing spaces " => "replacement"
"text with => inside" => new text
term to delete =>
# Lines starting with # are comments
- “Separator” is automatic by default: if a line contains a Tab, Tab is used; otherwise ”=>”. You can also choose ”||”, ”|” or ”;;”, or enter any separator. You can also set it on the first line of the file with
sep=||. - With Tab separators, content is kept as it is. With other separators, spaces on either side of the separator are ignored, so you can write “old => new” with spaces.
- To keep leading or trailing spaces, or when the text itself contains the separator, put it in double quotes. A quote inside double quotes is written as two quotes:
"". - If the separator appears more than once on a line (outside quotes), an error is reported with the line number.
CSV
Read by standard CSV rules: a cell that contains a comma must be in double quotes (Excel adds them automatically with “Save as CSV”). A row with more than two columns is reported as an error, with a hint that a comma may be missing its quotes. Write sep=; on the first line of the file to use semicolons instead.
Check list
“Check list…” shows the parsed result row by row in a table. Text inside 「」 is the actual content, · marks a leading or trailing space, and “(delete)” means the replacement is empty. You can show only rows with problems and copy the list of problems.
Common errors
| Error | Cause | Fix |
|---|---|---|
| Separator appears more than once | The text itself contains the separator | Add double quotes, or use a different separator |
| More than two columns | A CSV cell containing a comma has no quotes | Add double quotes, or import from Excel |
| Two replacements for the same search term | The table has a duplicate search term | Keep only one |
