Finance and HR
Short answer: Finance and HR teams hold many scanned records. They need to correct typos and old names in internal documents, and remove employee ID and bank card numbers before sending files to outside organizations. Both can be done in batches on your own computer.
Two kinds of work
Correcting internal documents
- Old department names in internal policies and process documents after a reorganization;
- Typos that recur across scanned records;
- Old contact details in internal templates.
Redaction before sharing
- Removing ID numbers, bank card numbers and phone numbers before giving employee records to medical examination providers, training providers or outsourcing vendors;
- Removing personal information unrelated to the audit when giving copies to auditors.
How to do it
For internal corrections, use batch replacement with a keyword table. Before sharing, use secure redaction. Both can process a whole folder in the batch window and produce a processing report.
Limits
Signed contracts, issued invoices and receipts, and certificates issued by banks or government bodies are issued documents. They record the facts as they were at that time. PDF Text Replacer detects these documents and restricts editing; they are suitable for redaction only, not for content replacement.
FAQ
Can I change financial documents that have already been submitted?
No, and you should not. Signed and issued documents are detected by the risk levels and editing is restricted. This software is for correcting typos in internal documents and for redaction before sharing.
Will bank card detection remove ordinary numbers by mistake?
Bank card numbers are checked with the Luhn check digit, and ID numbers with their check codes, so ordinary number strings are rarely mistaken for them. You can try it first with the ID number format tester.
